Changing AutoSync File Providers

If you're switching file providers, whether due to operational needs, vendor transitions, or system upgrades, it’s essential to ensure your AutoSync file feed with Hint Health stays accurate, secure, and uninterrupted. This guide outlines the full process to help your team manage the transition smoothly and avoid any disruptions to enrollment file processing.

1. Notify Hint and Submit Key Information

To begin the transition process, please email autosync@hint.com with the following details:

  • The date you expect to stop using the current file provider.

  • The go-live date for the new file provider.

  • Confirmation that the previous provider has been notified.

  • Whether any plan names are changing.

NOTE: Plan name mismatches between your file and what's configured in Hint can cause processing failures. If plan names are changing, include the updated names in your communication.

2. Complete the Onboarding Form for the New Provider

Even if you're already using AutoSync, a new provider means a new file feed. Please complete an onboarding form for the incoming file vendor. This ensures we:

  • Understand the file format and delivery method (SFTP).

  • Have updated security credentials and PGP keys, if required.

  • Accurately map the new data fields to the correct fields in Hint.

3. Submit a Test File

Before we activate the new file feed, a test file must be submitted through the provided SFTP credentials. This allows us to:

  • Confirm the file format matches our spec file

  • Validate that plan names align with what’s in Hint.

  • Test the connection and catch any formatting issues early.

NOTE: We will remain in the testing phase until the test file is confirmed to be correct. On average, the setup and testing process takes approximately 2–6 weeks. Timing can vary depending on how quickly test files are uploaded correctly and any adjustments needed during testing.

4. Transition to Auto-Processing

Once your test file is correct, we’ll move your new file feed to auto-processing. This means your eligibility or enrollment data will process automatically on a regular cadence, just like before, but now using your new provider’s file.
