Hint Campaigns

Hint Campaigns is a HIPAA-compliant tool for sending automated email workflows and manual broadcasts to your patients — built natively inside Hint.

Overview

Hint Campaigns gives you two core tools for reaching your patients:

Automations

Set-and-forget email sequences triggered automatically by patient data — including multi-step drip campaigns.

Broadcasts

One-time messages you compose and send manually to a chosen audience segment.

Because email addresses are considered unique identifiers under HIPAA, Hint Campaigns is built to be fully HIPAA compliant — unlike general-purpose tools such as Mailchimp.

How to access Campaigns

Campaigns is available as an add-on to your existing Hint subscription. To enable it:

  1. Log into your Hint account.

  2. Select Marketplace from the top right of your screen

  3. Find Campaigns and click to request access

Getting started: onboarding setup

The first time you open Campaigns, an onboarding flow walks you through four steps:

  1. Business branding — upload your logo, set brand colors, and link to your website. These assets are automatically injected into every email you send.

  2. Display name & sender address — choose the name patients see in their inbox. Campaigns sends from a dedicated marketing address, but any replies route directly to your real email. This protects your personal inbox's deliverability if a patient marks a message as spam.

  3. Merge field defaults — set fallback text for cases where a patient's contact info is missing (e.g. "Valued patient" if a first name isn't on file).

  4. Default automations — review and enable pre-built sequences. Your branding is automatically applied to each one.

Automations

Automations run in the background based on patient criteria from your Hint account. Each automation can be a single email or a multi-step sequence — for example: send a welcome email, wait 30 days, then send a follow-up. You can enable, pause, or edit them at any time without affecting other active automations.

Pre-built automation examples

  • Churn risk — patient hasn't had an appointment in over a year

  • New patient welcome — triggered when a patient signs up

  • Lead conversion — drip sequence to help convert prospective patients into paying members

  • Meet & greet follow-up — re-engage people who attended a meet and greet but haven't yet become patients

  • Re-engagement — based on custom criteria you define

More default automations are being added based on feedback from practices. If you have a use case you'd like to see, reach out to your Hint account contact or email support.

Editing automation content

Each automation includes default copy you can customize using the drag-and-drop email editor. You can add:

  • Banner images with clickable links (e.g. to a blog post or resource page)

  • Embedded video links

  • Dynamic merge fields (patient name, employer, plan status, etc.) pulled live from your Hint data

Broadcasts

Broadcasts are one-time messages you compose and send manually — useful for office closures, announcements, or targeted patient outreach.

Creating a broadcast

  1. 1

    Describe your message in plain text (e.g. "We'll be closed May 1–7"). Campaigns will generate a marketing-optimized draft with your branding applied automatically.

  2. 2

    Edit the draft in the email editor as needed. All Hint merge fields (first name, employer, plan type, etc.) are available to embed dynamically.

  3. 3

    Select your audience using a pre-built segment, a manual list, or a custom segment built from your Hint patient data.

  4. 4

    Send. Campaigns tracks recipients, open rates, unsubscribes, and spam reports.

Audience segments

You can target broadcasts using:

  • Pre-built segments — common filters like "patients without an active plan"

  • Manual selection — hand-pick specific patients from your list

  • Custom segments — describe your audience in plain text and Campaigns builds the filter automatically from your Hint data (e.g. "employer-sponsored patients enrolled in the last 90 days")

The same patient data used to build segments can also be used as merge fields inside your email content — so you can personalize messaging and control who receives it from one place.

SMS Coming soon

SMS support is currently in development. Once available, you'll be able to send a broadcast as both an email and a text message simultaneously — from a single workflow.

Google Reviews automation coming soon

An upcoming separate feature will help grow your practice by automating Google review requests. It will:

  • Automatically prompt long-engaged patients to leave a Google review

  • Route satisfied patients toward your public Google Business Profile

  • Let you respond to reviews directly from within Hint

Google reviews are increasingly used by AI tools to recommend local providers. Keeping your Google Business Profile active and well-reviewed is an important driver of new patient growth. This feature will be offered as a separate optional add-on and is not included in Campaigns.

Campaigns is an add-on to your existing Hint subscription.
