How to Create a New Task Workflow
A Task Workflow is a reusable set of tasks you can apply to a patient all at once — so you don't have to add the same tasks by hand every time. Task workflows support health maintenance, chronic care management and new patient checklists but are intentionally flexible to fit your specialty, clinical protocols and operational needs.
Step 1: Create a task workflow
From the side menu, navigate to Tasks.
At the top of the page, select the Workflows tab.
In the Workflows list on the left, click + New.
Enter a Workflow Name that describes its purpose (for example, New Patient Onboarding).
Click Create.
Your new workflow appears in the list and is selected automatically.
Step 3: Add tasks
With your workflow selected, click + Add Task on the right.
Fill in the task details:
Task (required) — what needs to be done.
Task Type — an optional category.
Assignee — who it's assigned to (leave blank to assign later).
Repeat — set a recurring schedule, or leave as Does not repeat.
Click Create.
Repeat for each task you want in the workflow.
Step 4: Order tasks in the workflow
Reorder: drag a task by its handle to change the order.
Edit: click the pencil icon, make changes, then Save.
Remove: click the trash icon to delete a task from the workflow.
Managing your workflows
Rename: select the workflow, click the pencil icon, update the name, then Save.
Delete: select the workflow, then click the trash icon.
Note: Editing or deleting tasks in a workflow does not change tasks that have already been assigned to patients.
Part 2: Assign or Filter a Workflow on a Patient
Once a workflow is built, you can apply it to a patient to create all of its tasks at once.
Step 1: Open the patient's chart
Go to the patient you want to assign the workflow to.
Find the Tasks section on their chart.
In the Tasks section, click the + New button.
From the menu, choose Add [workflow name] (each of your workflows appears here, alongside Create a New Task).
The workflow's tasks are added to the patient, and you'll see a "Workflow applied" confirmation. The new tasks appear in the patient's task list right away.
Step 2: Workflow filters on the patient's chart
In the Tasks section of the patient's chart, click on the filter icon.
Select the workflow you want to view in the workflow dropdown.
Select "Due now" to only view tasks from the workflow that require action.
Part 3: Reporting on Care Gaps
Once a workflow is assigned to patients, you can report on any individual overdue tasks within a workflow across your entire patient population.
From the side menu, navigate to Tasks.
Select the filter icon.
Select "Due now"
Select the workflow.
Select the task in the workflow you want to report on
See the list update to show all patients in your practice that are overdue for the selected task.
