When joining a telehealth appointment with a patient through Hint Clinical, you are joining the virtual call through Google Meet or Zoom on your device. When the Copilot note feature is used on the same device that you are conducting the virtual call on, it is unable to decipher the patient's audio to be able to generate the AI note or After Visit Summary.
To use the Copilot Note feature for a telehealth appointment, you have a few options:
If you join the telehealth Google Meet/Zoom Meeting with the patient on your mobile device or tablet, then you can utilize Copilot Notes on your computer as normal. The Copilot Note recording on your computer will decipher the audio for the patient appointment from your mobile device or tablet.
If you join the telehealth Google Meet/Zoom Meeting with the patient on your computer, then you will follow the steps below to record the telehealth meeting on your mobile device or tablet. Please also read the disclaimers at the bottom of this section!
On your computer, you will join the video call with the patient using Google Meet or Zoom.
On your mobile device or tablet, you will record the patient appointment as an audio recording (using the "Voice Memos" application on an iPhone, or the "Voice Recorder" application on an Android, or a recording application on your tablet).
Once you have finished the audio recording, upload it to Hint Clinical by connecting your mobile device or tablet to your computer (with a USB or USB-C charging cord).
On your computer, open the patient's Hint Clinical chart, click +New Interaction, select the Note Interaction, click Copilot Note, click Upload Audio File, click Select Files, select the audio recording file from your connected mobile device or tablet, click Open, and click All Done. Generate AI Note.

Enable the screen auto-lock feature on the device with a PIN code to unlock the mobile device or tablet
If utilizing an Android mobile device, turn on storage encryption
Ensure that device files are not uploaded to the device's cloud storage
After the recording has been uploaded into the patient's chart, delete the audio recording from your mobile device or tablet.
Notes:
You cannot record the Copilot Note using the same device that is running the Google Meet/Zoom Meeting application. The patient's audio is not deciphered when the same device is used for both.
You can not record the Google Meet or Zoom appointment with the patient and upload a video file into a Copilot Note, as video files are not supported.
