How to use Hint AI Scribe (Copilot)

AI Scribe with Custom Templates

You can choose the default SOAP note template or any templates with wildcards {{***}} will show up in the dropdown. The wildcard tells us where the AI should place information within your custom template.

To use AI Scribe (Copilot Note):

  1. Open a new note on a patient's chart

  2. Click "AI Scribe"

  3. Click "Start Recording"

  4. Once you've visited the visit, click "Stop"

  5. Select the AI Note Template you'd like to use for the visit note or use our default SOAP note template

  6. Select any additional note you'd like generated like a referral or DME order using your custom templates or choose the After Visit Summary for a patient-friendly summary of the visit.

  7. Click "Generate"

AI Scribe Audio Recovery

We’ve added a safeguard to help you quickly resume if a recording is interrupted mid-visit. If internet connectivity drops or a session is disrupted, you can resume the recording by selecting Resume and choosing the previous recording session.

AI Settings for Workflow Customization

We’ve added new AI settings that let you control the format and level of detail in AI-generated content. With these user-specific settings, each clinician can tailor how AI Scribe formats content in scribe, chat, and AI analyze diagnosis summaries (coming soon) making it easier to match documentation and communication to individual preferences or clinic standards.

To customize your AI Setting:

  1. Click on "Settings" on your left nav menu

  2. Click on "Team"

  3. Click on your user

  4. On the left nav, select "AI Settings"

  5. Customize your settings and click save

To use AI Chat (Copilot Chat):

  1. On a patient's Clinical chart, in the Communications section, click + New and choose AI Chat

  2. Type in your request or question and submit

Sample Questions that you can ask AI Chat (Copilot Chat):

  • Create a referral using this patient's medical history and last note for a cardiologist

  • Brief bullet point history of this patient

  • Write a letter to this patient for XYZ

  • Write a note for school/work for these dates

  • Create a 1week diabetic meal plan for this patient using mainly whole foods, minimal meat, and include a shopping list

Important Note:

  • By default, your practice users' "Auto Logout" time is set to 15-minutes

  • Since your AI Scribe Note Recording length can be up to 90-minutes long, you will want to update your practice's Auto Lgout time to something greater than 90-minutes (i.e. 100-minutes). This will update for all users in your Hint practice.

  • To do this, you should:

    • Go to Hint Core > Admin > Account > General > "Auto Logout After" section, and update this from "15" to "100" > Click Update

  • How can I sign up for AI Scribe?

    • AI Scribe is a feature available to clients on our Hint Clinical + Growth tier. If you are currently on the Clinical tier and would like to upgrade to Clinical + Growth, please email support@hint.com!

  • Where can I learn more information and schedule a demo to see AI Scribe in action?

  • Where do my audio recordings save to?

    • The audio recordings can be found in the File Drive, under the Patient's Name > Recordings.

  • Do I have to use a certain internet browser?

    • Yes, you must use Google Chrome. We plan to expand browser support to additional internet browsers.

  • Is there a limit on my AI Scribe recording?

    • You can record up to 90 minutes in one recording. Please see the "Important Note" section above!

  • Will the AI Scribe note use my saved Clinical templates?

    • Yes, you can use any template with a wildcard.

  • Can I write in the note interaction window while I’m recording?

    • Yes! The AI-generated note will be appended to the bottom of any notes you’ve taken during the visit.

  • Is AI Scribe HIPAA-compliant?

    • Yes, patient data is protected and HIPAA-compliant.

  • Does my patient need to sign anything? What are my legal requirements?

    • We recommend gaining consent from your patient before recording. Please check with your legal counsel for requirements specific to your state.

  • Can I pause the AI Scribe Note recording and then restart the recording?

    • Yes, you can click Pause during the recording and then click Resume to start recording again. Audio will not be recorded while it is paused.

  • During a AI Scribe note recording, how frequently is it being saved to my practice's file drive in the cloud?

    • It saves every 10 seconds.

  • Can I make an audio recording on another application or device and upload the file into the AI Scribe note?

    • Yes, you can upload an audio recording file to a AI Scribe note. To do so:

      • On a patient's Clinical chart, click + New Interaction

      • Select the Note Interaction

      • Click AI Scribe Note

      • Click Upload Audio File

      • Click Select Files

      • Select the recording file from your device to upload to the AI Scribe Note

      • Once you have selected the file, click All Done. Generate AI Note

  • What audio file formats are supported to upload to the AI Scribe Note?

    • .mp3, .wav, .webm, .ogg, & .m4a are the supported audio file types

  • Can I upload a video file or other file format into the AI Scribe Note?

    • No, video file formats and other other file formats are not supported.

  • What if I lose my internet connection during the recording, how can I upload the recording to the patient's note?

    • The AI Scribe note is still recording on your device, even when your internet connection is lost. If you lose internet connection during the recording, continue the recording until you are finished. Next, you should:

      • Click the Stop Recording button

      • An error message will appear stating: "Something went wrong during your recording, please click this download button to save your recording to your computer"

      • Click Download. This will download the audio file to your computer.

      • When you have an internet connection again, you should upload this downloaded recording to the AI Scribe note. To do so:

        • Go to the patient's Clinical chart, open the Note Interaction

        • Click AI Scribe Note

        • Click Upload Audio File

        • Click Select Files

        • Select the recording file that you previously downloaded

        • Once you have selected the file, click All Done. Generate AI Note
